Lived Names

The UC Presidential Policy on Gender Recognition and Lived Name ensures members of the UC San Diego community are able to use lived names on university-issued documents, including academic documents, and in IT Resource systems where legally allowable. The legal name of university students, employees, alumni, and affiliates, if different than the individual’s lived name, is kept confidential and is not be published on documents or displayed in IT Resource systems that do not require a person’s legal name. The policy was created after the Gender Recognition Act passed (California Senate Bill 179).

How to update your lived name at UC San Diego

For clear, direct information on how to update your lived name throughout the UC San Diego enterprise, please click on the dropdowns belowNote that often systems use the word “name” when indicating lived name, and the phrase “legal name” to indicate the more specific place where legal name is used. 

For students - how to update lived name

Undergraduate, graduate and professional school students at UC San Diego can enter and update their lived name, as well as other social identities (pronouns, gender identity, sexual orientation) through the Social Identities on TritonLink. Students may enter a first, middle, and last lived name.  Answers to frequently asked questions are available here 

  • If a student already had a preferred first and middle name in the system, that name has been converted to a lived name along with their legal last name.  
  • Changes and updates to lived name will propagate through student systems. Some may take up to 48 hours to update. 
  • If a student removes all lived names, the legal name populates downstream systems, replacing the prior lived name with the legal name. 

Downstream systems using lived names for students are numerous.  Some of the most common concerns about seeing legal name include: 

  • A student’s UC San Diego e-mail address (@ucsd.edu) - for more information on how to change your @ucsd.edu e-mail address, please each out to the Postmaster Team to request the change to your official e-mail address. The Postmaster Team maintains your original e-mail address as an alias, ensuring that you continue to receive mail sent to the old address. 
  • A student’s housing information - for more information on how to ensure that your name is correct for housing, please contact the Housing Liaison, at (858)-534-8567 housingliaison@ucsd.edu. 

Legal names can be changed on campus records by completing the Name Changes & Corrections form available from the Academic Records Staff in the Registrar's Office, https://students.ucsd.edu/academics/_organizations/registrar/name-change.html. The Registrar is located on the second floor of the Student Service Complex.

If you are a student who is a patient at Student Health Services and UC San Diego Health, please see the information below under “For students who are patients at Student Health Services and UC San Diego Health” 

For students who are also UC San Diego employees

When a student is also an employee, which is often the case for UC San Diego graduate and professional school students, as well as many undergraduate students who get on-campus jobs, lived name must also be updated in the employee systems.   

  • Select Employee Actions > Personal Information 
  • Under Name, select the arrow to expand the box 
  • Select Legal Name/Name 
  • Select Edit Legal Name/Name 
  • Enter your Name information and click Save.

Downstream systems using lived names for student employees are numerous.  Some of the most common concerns about seeing legal name include: 

  • Microsoft's suite of software, including Microsoft Outlook, OneDrive and Teams. 
  • Ecotimecampus.ucsd.edu, and other payroll systems 
  • The UC Learning Center 

All of these systems will eventually incorporate lived name into their systems once it is changed in UC PATH.  The initial downstream synchronization processes may take 3- 4 days. This initial process is currently being improved for greater efficiency through changes in the coming year. Changing your lived name in UC San Diego’s three primary systems will start the process, but it will take time for the lived name to populate in all downstream systems. 

For students who are patients at Student Health Services and UC San Diego Health

When a student is also a patient at UC San Diego Health, which includes UC San Diego’s Student Health Services, a student must first activate their online health portal (using their Student Active Directory, or AD, login name) in MyStudentChart  

In MyStudentChart, students have the option to share preferred name, gender identity, and sexual orientation.  This information is shared in the “My Record” section of MyChart, under the “Questionnaires” section, in the “Optional Questionnaires” section under the heading “Sexuality and Gender Identity.” 

For campus employees, including staff, faculty and academics

Lived name can be shared in UC PATH, the employee system for the entire University of California. 

  • Select Employee Actions > Personal Information 
  • Under Name, select the arrow to expand the box 
  • Select Legal Name/Name 
  • Select Edit Legal Name/Name 
  • Enter your Name information and click Save.

For instructors who would like to use a lived name in student systems

If you are an instructor who would like a lived name to appear in student systems, such as class rosters and in the course catalog, you may update your lived name in the Social Identities tool on Tritonlink. Unfortunately, lived names entered via UC Path are not currently propagated automatically into student systems.

For Health employees, including staff and academics

Aligning with the UCOP Policy for Gender Recognition and Lived Name, UC San Diego Health team members can now update profiles to reflect their lived names in applications used within the UC San Diego Health system. For some applications, lived names will become the primary names presented in these applications. To remain compliant with current regulatory, legal, and financial requirements, there are limitations on updating Lived name for Staff/Providers who are licensed/credentialed in Epic, UC San Diego Health's electronic health record (EHR) system.
